Code of Conduct
Welcome to the Innovation Center. All visitors to the Innovation Center have the right to be treated with dignity and respect and have the responsibility to treat others similarly. In order to ensure that it is a safe and comfortable space for everyone we have listed a few guidelines below.
The following activities are not allowed on Innovation Center Property:
- Physically or verbally threatening or harassing any person in any way.
- Using sexually explicit language, obscene gestures, or racial, religious or ethnic slurs that are likely to upset or disturb the peace of staff, clients, volunteers or visitors.
- Defacing, damaging or destroying property in any area belonging to the Innovation Center, its visitors or tenants.
- Possession or consumption of alcohol outside of an Innovation Center sponsored event, with the exception of events in the rental spaces.
- Possession, use, or sale of illegal drugs, weapons, or contraband.
- Soliciting, for any purpose, including asking for money, contributions or donations unless such activity has been approved by the Innovation Center Administration.
- Assembling for the purpose of disturbing the public peace or committing any unlawful act in the Innovation Center.
- Fighting, annoying others through noisy or boisterous activities, or in any other way creating a disturbance which is disruptive or dangerous to others in the Innovation Center.
- Running, skating, rollerblading, skateboarding, bicycling, or otherwise obstructing or interfering with the free flow of pedestrian traffic.
- Throwing, discarding, or depositing any paper, glass or other matter of any kind except in designated trash receptacles.
- Failing to be fully clothed or wearing apparel that is likely to provoke a disturbance.
- Bringing animals on to Innovation Center property, with the exception of animals in the company of, and trained to assist physically challenged persons.
- Posting or distribution of non-Innovation Center flyers or notices without prior approval from the Innovation Center Administration.
- Smoking.

Innovation Center Facility Rental Policy
- Scheduling
1.1 Room usage will be scheduled on a first-come, first-served basis, subject to availability.
1.2 Rentals must be scheduled at least seven (7) days in advance but not more than one year in advance.
1.3 Applications for room rental at the Innovation Center must be signed by an adult, eighteen (18) years or older who assumes responsibility for the room reservation and the actions of their guests.
- Deposit
2.1 A deposit of 30% is required at the time of reservation.
2.2 Recurring events will have a one-time deposit of 30% of monthly rent before first event.
2.3 Deposits will be waived for Innovation Center tenants.
- Cancellations
3.1 All cancellations must be submitted in writing.
3.2 Cancellation 60 days prior to scheduled event: $25 fee
3.3 Cancellation 30 days prior to scheduled event: forfeit $25 +½ deposit
3.4 Cancellation 14 days prior to scheduled event: $25 + forfeit full deposit
3.5 Cancellation 7 days prior to scheduled event: Full Charge
3.6 If the scheduled event is cancelled by the Innovation Center, the deposit and rental fee will be refunded. The renter will be given a 50% discount if another date is booked within seven (7) days.
3.7 Any returnable portion of your deposit will be mailed to you within fourteen (14) business days of written cancellation.
- Payment
4.1 Payment in full is required three (3) days prior to the event.
4.2 If payment is not received in full three (3) days prior to the event and payment arrangements have not been made, then the contract for the rental will be voided and the renter will be responsible for the full rental amount.
4.3 Three methods of payment are available: Credit Card, Checks, Cash
- Food & Beverage/Catering
5.1 Food may be served only with the prior approval of the Innovation Center.
5.2 All arrangements are to be made directly between the caterer and the renter.
5.3 Catering staff and/or renter are responsible for cleaning the servery and service areas following the event. Trash must be bagged.

- Liability & Damages
7.1 The Innovation Center is not responsible for any damages or loss of items stored or displayed on its property prior to, during or following the renter’s function.
7.2 The renter is responsible for any damages and/or thefts that occur to the premise or property by their guests, invitees or other agents under the renter’s control.
- Security
8.1 The Innovation Center reserves the right to require security arrangements for any event. Applicable charges will be the responsibility of the renter.
8.2 Groups composed of ages 10 and under must be supervised by one (1) adult for each ten (10) children at all times.
8.3 Groups composed of ages 12.17 must be supervised by two (2) adults for each fifteen (15) youths at all times.
- Publicity & Signage
9.1 Publicity and signs provided by the renter must not give the impression that the Innovation Center sponsors the program or event.
- Parking
10.1 Long-term parking is available in the City of Richmond Parking Garage, 25 South Eighth Street, less than two blocks from the Innovation Center.
10.2 Short-term parking is available on East Main Street, in front of the Innovation Center.

Decorating Guidelines
- Decoration of Innovation Center facilities by various organizations is allowed, provided:
- Decorations do not interfere or conflict with IC programming or normal operation of the Center;
- Such use conforms to applicable policies, guidelines and procedures of the Center.
- Innovation Center General Decorating Guidelines
2.1 All set-up requests and decorations should be submitted in writing to the Facilities Coordinator at least two weeks prior to the event date.
2.2 No display materials of any sort may be affixed to the walls, doors, windows, room partitions, curtains, and floors in the Innovation Center.
2.3 The use of tape (including duct, masking, and clear tape) is not permitted on Innovation Center walls, tables, chairs or equipment. The use of nails, screws, or thumbtacks is prohibited in the Innovation Center. Discuss with the Facilities Coordinator the option of special rigging for hanging items.
2.4 Banners may be hung from designated points in the Innovation Center. Drop off your banner at least 24 hours in advance of your reservation. The Facilities Coordinator will hang all banners and remove them within 24 hours after the event.
2.5 Any food or beverage spills on the floor must be cleaned up immediately. If assistance is needed with a spill, please contact the Facilities Coordinator, or Catering Staff.
2.6 Please remove all of your items by the end of the event. The Innovation Center assumes no responsibility for any items left in the Center after your event.
2.7 It is your responsibility to return the room to its original set-up condition after the event. All trash must be discarded in waste receptacles. All decorations must be removed or discarded. Please let the Facilities Coordinator know if you need additional trash receptacles. If the room is in not left in its original condition, your organization will be charged a cleaning, and possible damage fee depending on the condition of the room. You may elect to have the Innovation Center restore the room for a $75 clean up fee.
2.8 Partition divider walls must be opened and closed only by Innovation Center staff.
- Innovation Center Safety Guidelines
3.1 All decorations must meet minimum safety standards. Fire codes prohibit the use of hay, straw, cornstalks, live Christmas trees or other dry tinder in the Innovation Center. All balloons must be secured within the facility.
3.2 Emergency exits and service doors are not to be blocked with any furniture, decorations, or equipment.
3.3 All candles must be in an enclosed in a fire resistant container. Please have all candles and containers approved by the Facilities Coordinator.
3.4 Carpet mats must cover all electrical cords, cables, etc.
Failure to adhere to any guidelines will result in additional fees to the organization. These fees include:
- Extra cleaning or set-up costs (labor charge)
- Cost of repairs to facility (cost and labor)
- Cost from loss or theft of equipment (replacement cost and labor charge)
- Fire Department response for failing to follow the above guidelines (Actual cost per response)

Alcohol Use Policy
The use of alcohol in the Innovation Center facilities by various organizations is allowed, provided:
- The organization obtains a one-day alcohol use permit from the Indiana Alcoholic Beverage Commission.
- Food and water are served along with the alcohol.
- The organization obtains an insurance certificate for their event that is serving alcohol, naming the Innovation Center as the loss payee.
- If the event is catered, the Caterer must be licensed to serve alcohol and must provide proof of licensing to the Innovation Center prior to the event.
The Innovation Center reserves the right to deny use of alcohol at any event.

Equipment Policies
Statement of Liability
It is incumbent upon the person checking out media equipment to ensure that all reasonable steps have been taken to provide for the equipment’s security and safe operation. End-user responsibility is implied.
Reservation Policy
All reservations require a minimum of 24 hours notice. Requests shall be considered on a first-come, first-serve basis. Reservations will be confirmed when a rental agreement is signed and received by the Innovation Center.
Due to the high demand, we avoid extended use of media equipment and will generally limit the check out period to 24 hours. Under some circumstances and at the discretion of the Main Street Executive Director, reservations can extend beyond the one-day period.

The following information is required at the time of reservation:
- Your name & email address
- Organization name & phone number.
- When you need the media equipment and when it will be returned.
- The location where the equipment will be used.
- Software requirements. (If applicable)
- Connection and bridge points. (If applicable)
LCD Projector Usage
The following rules apply to LCD Projector usage:
- Advanced payment is required to secure the reservation.
- Center City Development reserves the right to cancel reservations if the equipment is needed to handle an emergency, Center City Development Corporation need. Center City Development Corporation will make reasonable attempts to contact the reservation holder in advance, but is under no explicit obligation to do so.
- Requests shall be considered on a first-come, first-serve basis.
- The individual and/or organization will be monetarily responsible for any repairs required due to damage incurred while in the user’s care.
Laptop Computer Usage
The following rules apply to laptop computer usage:
- Laptop computers cannot leave the Innovation Center.
- Computer use is only for legal, authorized purposes. Unauthorized or illegal uses include but are not limited to: harassment, destruction of or damage to equipment, software, or data belonging to others, and unauthorized copying of copyrighted materials.
- Users must never engage is any activity that might be harmful to systems or any information stored thereon, such as creating or propagating viruses, disrupting services, or damaging files or making unauthorized or nonapproved changes.
- Software installation, repair to the laptop computer, or the replacement of any part in the computer cannot be accomplished without the prior consent of the Innovation Center. Renter will pay for all unauthorized repairs and replacement parts, as well as the cost of restoring any unauthorized alterations.
- Renter waives all claims against the Innovation Center for any incidental, special or consequential damages in connection with the furnishing, performance or use of the computer.
- Center City Development Corporation reserves the right to cancel reservations if the equipment is needed to handle an emergency, Center City Development Corporation need. Center City Development Corporation will make reasonable attempts to contact the reservation holder in advance, but is under no explicit obligation to do so.
- Requests shall be considered on a first-come, first-served basis. Reservations will be confirmed when a rental agreement is signed and received by the Innovation Center.
- The individual and/or organization will be monetarily responsible for any maintenance or repairs required due to system alterations or damage incurred while in the user’s care.
SmartBoard Usage
The following rules apply to SmartBoard usage:
- The SmartBoard cannot leave the Innovation Center.
- Only SmartBoard accessories can be used on the SmartBoard – whiteboard markers cannot be used on the writing surface.
- Renter waives all claims against the Innovation Center for any incidental, special or consequential damages in connection with the furnishing, performance or use of the computer.
- Center City Development Corporation reserves the right to cancel reservations if the equipment is needed to handle an emergency, Center City Development Corporation request. Main Street will make reasonable attempts to contact the reservation holder in advance, but is under no explicit obligation to do so.
- Requests shall be considered on a first-come, first-serve basis. Reservations will be confirmed when a rental agreement is signed and received by the Innovation Center.
- The individual and/or organization will be monetarily responsible for any repairs required due to damage incurred while in the user’s care.
Video Conference Usage Policy
The following rules apply to videoconference equipment usage:
- The renter shall be held solely responsible for paying all license and utilization fees associated with the video conference and furnishing written proof that viewing and/or recording any program has been properly licensed prior to the event.
- Renter waives all claims against the Innovation Center for any incidental, special or consequential damages in connection with the furnishing, performance or use of the computer.
- Center City Development Corporation reserves the right to cancel reservations if the equipment is needed to handle an emergency, Center City Development Corporation request. Main Street will make reasonable attempts to contact the reservation holder in advance, but is under no explicit obligation to do so.
- The individual and/or organization will be monetarily responsible for any repairs required due to damage incurred while in the users care.
Cancellation Policy
Cancellations must be in writing (mail, fax or e-mail) and be received at least seven (7) calendar days prior to the reservation start date. If a cancellation is submitted less than seven (7) days from the reservation start date, you will be billed in full.
Late Return Policy
It is imperative that equipment be returned on time. To encourage timely return of Center City Development Corporation equipment:
- A $30 fee will be levied for late returns and the individual or organization will be monetarily responsible for any rental fees Center City Development Corporation incurs to provide replacement equipment for other commitments. (Please note: the one-day fee for an LCD projection device is approximately $250.)
- Unresolved, habitual late returns will result in the revocation of Center City Development Corporation check-out privileges.
Travel/Extended Use Considerations
We will not to grant equipment reservations for purposes outside of the immediate Richmond/Wayne county vicinity.
